Each item goes to the right people
Fulfilment is tracked per item, not per order, because one basket can hold very different things.
Fulfilment per item
A basket can hold a donation, a download and a hardback book. Each item is tracked separately, so digital items complete by themselves and only the physical ones wait.
Fulfillers
Your packing team, or a partner company. Assign each product to one, from the product or from the fulfiller.
Only their own items
A partner who ships one item out of five sees that one item. They never see the rest of the order.
Told by email
With the full order details, or just a notice and a link to the portal, so customer details don’t sit in a partner’s inbox.
Or in their own Slack
A post in the fulfiller’s own Slack channel when work arrives. It never contains customer details.
Nothing slips through
An item with no fulfiller is flagged straight away and waits in an Unassigned queue, so no order is forgotten.
The fulfiller portal
A board of work, on any phone
Fulfillers sign in to their own simple area, branded with your shop’s logo and kept separate from your admin.
Three columns: to pack, packing and done. New orders appear as they arrive.
Each card shows the order, how many items are theirs, the delivery method and the postcode area. Orders waiting two days or more are flagged.
Opening an order shows their items, the delivery address and any delivery instructions, with one next step: pack, then dispatch.
Dispatching sends the customer their dispatch email with the carrier and tracking number.
Every pack and dispatch is recorded against the person who did it.
